Meeting Notes People Will Actually Use

Meeting notes are useful when they help people remember what was decided and what happens next. A transcript of everything said is rarely the best record. Aim for a concise document that someone who could not attend can understand.

Set the context

At the top, include the meeting name, date, participants, and a short purpose. Link to the agenda or project folder so readers can find supporting material. If the meeting is recurring, use one consistent template so important details are easy to scan.

Separate decisions from discussion

Write decisions as clear statements and include the reasoning when it will matter later. Keep unresolved questions in a separate section. This prevents tentative ideas from being treated as commitments and helps the next meeting begin with the right context.

Make actions concrete

Each action should name one owner and a due date or check-in point. “Follow up with the supplier” is more useful when it says who will contact them and by when. Close the meeting by confirming the actions aloud and share the notes while they are still fresh.

Do not collect information that the team does not need. In sensitive meetings, make sure access to notes matches the audience. A short, accurate record is better than a detailed document nobody maintains. Create a template in Lipiyo Docs and improve it as your team learns what it needs to remember.
